Purchase Orders and Supplier Invoices

If you're providing us with goods or services, then you'll need a valid purchase order. This page outlines our requirements for purchase orders, invoicing and payments.

Purchase orders

Our Purchase order terms and conditions contain the default terms and conditions which apply to all purchases of product or services from 1 July 2025 unless otherwise agreed in a contract.

Before starting any work with us or supplying any services or products to us you will be issued a purchase order as a record of the agreed purchase.

Key things to note:

  • Supply of products, services or works cannot start without a purchase order.
  • Valid purchase order numbers are seven digits long and are prefixed with a P.
  • When invoicing us the purchase order number must be present on all invoices for payment to be made. If you have not received your purchase order number, please contact the person that you have been working with from the Council to request one.

Supplier Invoices

Payments will be paid on or before the 20th of the month following the date of invoice, providing a valid invoice has been received by Council by the fifth business day of the following month unless alternative payment terms have been agreed to in a contract.

To help us process your payment promptly make sure you invoice is addressed to the Northland Regional Council and has the following clearly displayed:

  • Purchase order number
  • Your company’s legal name
  • Your company’s GST number
  • Your company’s invoice number for the service/supply of goods
  • A description of the goods or service being supplied
  • The date of the invoice
  • The total amount to be paid
  • The amount of GST (if any) to be paid
  • Your company’s bank account details.
